What we collect and why.

Data collected

When you use the contact form, we receive your name or tag, email address, selected subject and message content. After each valid submission, a limited record containing the date, name or tag and email address is added to the monthly form report.

Photos and videos taken during our events may also constitute personal data when a person is identifiable. Publishing a targeted portrait requires the consent of the person concerned and, for a minor, their legal representative.

The hosting provider may retain technical logs, including the IP address, requested page, date and certain browser information, to ensure the website operates securely.

Why we use it

  • Receive, process and respond to your requests.
  • Trace form usage to facilitate the exercise of your rights.
  • Prepare a possible collaboration or event participation.
  • Document and promote community activities.
  • Prevent abuse and secure the website and form.

This processing is based on our legitimate interests in communicating, following up requests, presenting our activities and protecting the website, as well as pre-contractual measures when your request concerns a project or collaboration.

Recipients and retention

Only authorised people within Hadokamp ASBL and, where technically necessary, our hosting and email providers can access this data. The form record is sent monthly to the internal contact@hadokamp.be mailbox.

Contact exchanges and monthly records are retained for no more than 12 months, except where required by law, administrative necessity or a dispute. Event images remain published while relevant to presenting Hadokamp’s activities; a removal request may be made at any time. Technical logs follow the hosting provider’s retention period.

Your rights

You may request access to, correction or deletion of your data, including removal from contact exchanges and records, request restriction, or object to processing by writing to contact@hadokamp.be.

You may also lodge a complaint with theData Protection Authority. No automated decision-making is carried out using your data.
